VACANCY: Grants and Logistics Coordinator

Position Description:

FHI 360’s Moldova Partnerships for Sustainable Civil Society (MPSCS) is a five-year project funded by the United States Agency for International Development (USAID). The purpose of the project is to improve the capacity of Moldovan civil society to represent citizen’s interests, influence policymaking, and sustain the sector’s democratic role for the future. 

MPSCS seeks qualified candidates for the position of Grants and Logistics Coordinator in Chisinau.

The Grants and Logistics Coordinator is responsible for providing programmatic and administrative support to the Grants team. S/he will assist with managing all grant-related activities from initial inquiry from grant seekers to grant closure. S/he will serve as a direct link between the Program, Sr. Grants/Monitoring and Evaluation Manager, and assigned grantees, and will also provide communications and training support to the grantees as needed.

Responsibilities of the position include, but are not limited to:

 -  Collaborate with other project staff on all aspects of the Requests for Applications (RFAs), grant selection and awarding processes and ensure that complete documentation is on file. Manage correspondence and first line communication with grantees;
 -  Coordinate the maintenance on a daily basis of a Grants Tracking System that allows the Grants team and Program leadership to quickly and easily ascertain grantee performance and identify issues;
 -  Supervise the implementation of grantees awards;
 -  Prepare grants modification packages in coordination with the Sr. Grants/Monitoring and Evaluation Manager;
 -  Serve as the point of contact for grantees;
 -  Coordinate logistics for all workshops, trainings and other events with grantees, including Quarterly Grantee Meetings, and any other event or activity related to grants and technical assistance and training for stakeholders;
 -  Coordinate the activities of informing grantees on FHI 360 grants requirements and reporting procedures, using as a basis the FHI 360/Moldova Grants Manual;
 -  Perform initial review of all grantees’ reports to ensure that they are included in the Grants Tracking System and that they meet the basic FHI 360 requirements;
 -  Collaborate with the grants and the technical assistance team in conducting field visits to monitor grantee work, as required;
 -  Track outstanding grants and prepare appropriate reports;
 -  Maintain petty cash: permanent access to petty cash, receive petty cash request forms, issue cash upon submission of approved request, keep track of issued cash, make sure the amount of cash in the cash box is within the limits established internally in the Operations Manual;
 -  Receive and re-route all phone calls, responding to incoming correspondence by fax, email, and mail professionally and promptly, welcoming and assisting all visitors promptly, warmly, and professionally;
 -  Coordinate all administrative support required, including preparing correspondence, photocopying, filing, faxing, and   telephone   support; and
 -  Perform other job-related duties as assigned.
Minimum Requirements:
 -  Bachelor's degree or its international equivalent required;
 -  At least 2 years working experience in a comparable administrative support role, preferably with an international organization and/or with a non-governmental(s);
 -  At least 2 year of experience with grants programs, design and management of civil society grants programs preferred;
 -  Demonstrated experience in civil society, governance, organizational capacity building, advocacy, or other related democracy and governance sectors highly desired;
 -  Ability to work as part of a team as well as independently;
 -  Demonstrated ability to coordinate and communicate effectively and efficiently;
 -  Familiarity with USAID programming, rules and regulations highly desired;
 -  Fluency in Romanian and/or Russian and English (reading, writing and speaking).
